How Flexible Business Solutions Ltd collects, uses and protects personal information when you use this website, contact us or work with us. Last updated 21 October 2026.
Who we are
Flexible Business Solutions Ltd (“FBS”, “we”, “us”) is a bid and tender consultancy registered in England and Wales, company number 15123389. Our registered office is 86–90 Paul Street, London EC2A 4NE.
We are the controller of the personal information described in this notice. If you have a question about it, or want to use any of your rights, email hello@fbslimited.co.uk.
What we collect
- Enquiries. When you use our contact form or email us: your name, work email, company, role, the service you are interested in, your tender deadline and anything you write in your message. Each enquiry is emailed to us and a copy is kept in our website’s dashboard.
- Checklist subscriptions. When you subscribe to open the bid readiness checklist: your name, work email and company. We add you to our mailing list.
- Client work. When we work with you or your organisation: business contact details, correspondence and the information you share with us for the bid or project.
- Website use. Basic technical information that your browser sends, such as your IP address, browser type and the pages you visit, collected by our hosting provider to run and protect the site.
We do not ask for special category information (such as health details) through this website. Please do not send it to us unless we have agreed a secure way to do so as part of a project.
How we use it and our lawful basis
- To reply to your enquiry and discuss working together: our legitimate interest in responding to business enquiries, or steps you ask us to take before entering into a contract.
- To deliver our services: performance of our contract with you or your organisation.
- To give you the checklist and send occasional emails on public sector bidding: your consent when you subscribe, which you can withdraw at any time by replying “unsubscribe” or emailing hello@fbslimited.co.uk.
- To run, secure and improve this website: our legitimate interest in keeping the site working and safe.
- To meet legal and accounting duties: legal obligation.
We never sell your personal information, and we do not use it for automated decisions that have a legal or similarly significant effect on you.
Who we share it with
We share personal information only with service providers who help us run the business and who act on our instructions, such as our website host (WordPress.com, run by Automattic), our email and document provider (Microsoft 365) and our accountants. We may also share information if the law requires it, or with a client you have asked us to work with on a bid.
International transfers
Some of our providers store or process information outside the UK, for example in the United States. Where that happens, we rely on UK adequacy regulations or on safeguards approved under UK data protection law, such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
How long we keep it
- Enquiries that do not lead to work: up to two years from our last contact.
- Checklist subscribers: until you unsubscribe, then only a record that you did.
- Client and project records: six years after the work ends, to meet tax and legal duties.
Your rights
Under UK data protection law you have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to ask for it to be moved to another organisation, and to withdraw consent at any time. To use any of these rights, email hello@fbslimited.co.uk. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
