AI policy

How Flexible Business Solutions Ltd uses artificial intelligence (AI) in bid and tender work, and the rules we follow to keep it accurate, confidential and accountable. Last updated 21 October 2026.

Why we use AI

AI helps us with the groundwork of a bid: searching documents, organising evidence and producing first drafts. That saves time our senior team then spends on the solution, the evidence and the scoring. AI supports our people; it does not replace their judgement.

Where we use it

  • Pipeline management. Tracking opportunities and preparing the weekly shortlist and go/no-go summaries.
  • Research and capture. Searching buyer documents, past contracts and published data so capture plans start from evidence.
  • Bid writing. First drafts, compliance matrices and evidence searches. The final wording of every answer is written and checked by our senior team.
  • Review and quality. Checking answers against the question, the scoring criteria and word limits, alongside a senior reviewer.

Our rules

  • A person reviews everything. A senior consultant reviews every answer against the scoring criteria before it goes to a client. Nothing AI drafts is submitted unchecked.
  • Client information stays confidential. We only use client documents and tender information in AI tools approved for business use, whose terms stop our data being used to train their models. We never put client information into free consumer AI tools.
  • Facts come from the source. Figures, case studies, credentials and commitments are taken from evidence the client has given us and checked against it. We do not use AI to invent evidence.
  • Buyer rules come first. We follow each buyer’s instructions on the use of AI in tender responses, including any requirement to declare it.
  • Clients decide. If a client asks us not to use AI on their work, we do not.
  • Personal information is kept to a minimum. We avoid putting personal information into AI tools, and handle any we do use in line with our privacy notice.

Accountability

The directors of Flexible Business Solutions Ltd own this policy, review it at least once a year and update it when our tools or the rules on AI in public procurement change.
